Dear AU Colleagues,

We are writing to remind you that American University’s Mail Services will begin using an electronic form via OIT’s ServiceNow platform to process outbound mail. As we mentioned in the March Finance Forum, the new form will provide instructions for mail processing and departmental budget information for charging purposes. The paper forms being used currently will no longer be accepted starting July 1. The electronic form will not be required for intercampus mail.

  • The new form can be accessed from the Mail Services website or directly here.
    • Authentication with your AU credentials is required to access the Service Now Form.
    • The form is only available to AU Faculty and Staff.
  • Instructions to complete the form:
    • Change any worktags as needed.
    • Choose appropriate shipping method, additional services, and postage type.
    • Fill out all USPS forms (Certified, Return Receipt, Customs, Express). Forms can be requested from Mail Services.
    • Complete form (your name, email, and department are prepopulated).
    • Print form and include with corresponding outgoing mail.

Auxiliary Services will continue to process an internal transfer each month for the previous month’s postage charges. Users with Fedex accounts may continue to use those without any changes.
